CHAIR HOW-TO: Change a Paper’s Track

In a multi-track conference there may be a time when the chair wants to switch the track of a particular paper to a different track.

OVERVIEW

Switch the track of a particular paper is easily done by the chairs.

Important

If the paper already has Reviews and/or Meta-Reviews, these will not copy over to the new track. Tracks are like mini-conferences within a conference, which may have different questions, PC members, etc., so anything moved from one track to another will likely result in some lost information if not careful.

CHAIR CONSOLE

From the Chair Console find the desired paper to move. In this case we will move Paper Id #20 from the MAIN track to the Clean Track.

Note

We highly suggest to download the submission file(s) beforehand, if the intent is to delete the original track. Also, if applicable, it is best to make a copy of all Reviewers, Reviews, Meta-Reviewers and Meta-Reviews for that particular paper.

  • First make a copy of the Submission Summary. This may be needed to answer any subsequent submission questions, conflicts, subject areas, or if the paper will be reverted back to the original track. Once copied, click ‘Back to Chair Console’

Change Track

  • From Chair Console, click ‘More>Change Track>Clean Track’
Note

If the paper already has a camera-ready submission, you will not be able to change the track.

Caution

Up to this point, the process can be canceled. Once the changes to the submission form are saved, the process is irreversible.

The Submission form for the new track will likely need to have information entered.

  • In this case enter the ‘Subject Areas’ then ‘Save changes’

  • Edit Conflicts of Interest, then click ‘Go Back’

VERIFY TRACK CHANGE

  • Verify in the Chair Console that the track was changed.
